MANAGEMENT

INTRODUCTION

The management of the Sungate Owners Association consists of the following

·         Board of Directors

·         Township Management

·         Company Secretary

·         Auditors

1.     BOARD OF DIRECTORS

 ·         The Board of Directors of the Association will always consist of not less than 3 and not more than 7 directors nominated to portfolios as determined by the Board

·         During the development period there shall be one more Development Director than Member Directors

·         Each director is elected at the Annual General Meeting and continues to hold office from the date of their election until the next Annual General Meeting

 2.     TOWNSHIP MANAGEMENT

 ·         The Township Manager is responsible for the daily affairs of SOA.

·         The responsibilities of the Township Manager & Staff includes the following:

-       Implementing the Precinct Plans of the Sungate Township

-       Managing and implementing the Design Review Panel process

-       Managing the plan approval process

-       Issuing and maintaining standard SOA forms similar to the standard forms of the City of Windhoek

-       Issuing information documentation to new developers, i.e. Township Rules, Contractor’s Code of Conduct, Principal Agent’s Code of Conduct, etc

-       Managing maintenance contractors, i.e. Electricians & Plumbers

-       Monthly meter readings for utilities

-       Monthly invoicing of utilities + collection

-       Managing the SOA budget

-       Conducting site inspections

-       Issuing of occupation certificates

-       Maintaining infrastructure services, i.e. Sewer, Water Reticulation, Electrical Reticulation, Streetlights and Roads

-       Setting up refuse removal contracts with external contractors

-       Landscaping and irrigation planning and maintenance

-       Organising the Annual General Meeting for the Association

3.     COMPANY SECRETARY

 The company secretarial services are being proved by “Bonsai Secretarial Compliance Services”.

4.     AUDITORS

 The current auditors for the Sungate Owners Association are “PKF-FCS Namibia”.
